Privacy Schedule for supporters

This Schedule sets out details of our processing of our supporters’ personal information.

Supporters include Friends of the Trust; donors or potential donors; individuals who register for volunteering opportunities; individuals who fundraise for us; individuals who consent to receive marketing materials; and those who support the Trust in other ways. It should be read in conjunction with the Trust Privacy Notice.

Controller of your information

We are the controller of your personal information. Where we legitimately share your information outside of the Trust, the recipient organisation may either be the processor or joint controller, depending on the circumstances and subject to appropriate safeguards and controls.

Where we get your information from

Your information may be collected in a variety of ways.

Information you provide

  • When you sign up to be a Friend of the Trust.
  • When you pledge or give us a donation or indicate that you will donate in your will.
  • When you respond to our mailings, campaigns, or competitions or adverts.
  • When you attend one of our events or raise funds for our benefit.
  • When you register for a MyTrust account on our website.
  • When you subscribe to our newsletter or opt-in when completing our forms.
  • When you request information about our work, campaigns, or services.

Information we obtain from other sources

  • Where you have given your consent to third parties connected to fundraising and events (e.g., Just Giving, Eventbrite, Crowdfunder, EverGiving, Neighbourly). Although we receive this through another source, the information will have originated from you.
  • Through non-intrusive research on prospective supporters undertaken by the Trust or on our behalf.
  • From third parties who made a Gift donation in your name.
  • From third parties connected to our citizen science projects where you have given your consent.

Information we create

  • We do not create information about you.

Information we collect about you

Depending on the circumstances, we may hold and process some, or all, of the information contained in Annex 1 – Schedule of personal information processed.

Special category information

We do not collect your special category information.

Criminal convictions and offences information

We do not collect your criminal convictions and offences information.

Why we process your information

Your personal information will be processed for the purposes set out in Annex 1 – Schedule of personal information processed and will not be processed for any other purpose.

Facebook information processing

We may use Facebook’s “Custom Audience” programme.

This allows us to tailor our advertising more effectively by better understanding our supporters on Facebook. Encrypted data is sent between the Trust’s Marketo system and Facebook Business Manager for profile matching, after which Facebook deletes the data.

We also use this for building ‘lookalike’ audiences, to enable tracking cookies on our website for the purpose of finding Facebook users with similar traits to those visiting key pages on our website. With your consent, we use this to target advertisements more efficiently to individuals who have expressed an interest in our work.

We may follow similar processes as part of other social media platforms.

Anonymised information processing

We may aggregate and anonymise your information so you can no longer be identified from it.

This information may be used for several purposes, for example, to identify common characteristics among our existing supporter base, helping us to better understand our audience and making our communications as efficient as possible. Your postcode may be combined with other information to build a profile of a typical individual within that area, for the purpose of more informed and targeted advertising.

Prospecting

We may conduct analysis on information of our supporters and partners (including demographic information, and donation behaviour) to obtain an insight into the likelihood of you wishing to support our work and at what level. Such information is compiled by non-intrusive profiling, using only publicly available information or information freely provided by you such as location or preferences. This analysis helps us to market, fundraise and share the way you can support us more effectively. It also assists in determining the success of our communications and in better understanding supporter behaviour, patterns, and trends.

We may also conduct research using information in the public domain, to identify individuals who may have an affinity to our cause but with whom we are not already in touch. This enables us to understand the background and interests of a prospect, inform our funding strategy and target our communications more effectively. We may also compile information from publicly available sources on prospective supporters, including high net-worth individuals. This enables us to understand the background and interests of a prospect so we can tailor our communication accordingly.

This research and analysis may be conducted by third parties on our behalf.

Information Accuracy

As part of its commitment to maintaining up-to-date and accurate records, the Trust may periodically use your data to interrogate and cross-reference information held by Experian or other similar organisations. This is to ensure the details we have on record are correct.

Lawful basis

Your personal information will be processed under the lawful basis set out in Annex 1 – Schedule of personal information processed.

Where your information will be stored

Your information will be stored securely in a range of different places in the Trust’s information management system, including in our Customer Relationship Management (CRM) system.

Who we share your information with

Your personal information may be shared internally within the Trust with individuals who are required to receive it for legitimate business purposes according to their role, and in accordance with Annex 1 – Schedule of personal information processed.

Your information may be shared externally according to Annex 2 – Schedule of personal information shared.

Changes to this Schedule

We may change this Schedule from time to time without notice to you. This is to ensure it reflects current legislation. In that case, the ‘latest version’ date in Annex 3 will also change. Any changes to this Schedule will apply to you and your data immediately.

If these changes significantly affect how your personal data is processed, we will take reasonable steps to let you know.

Latest version

This Privacy Schedule is reviewed periodically when changes are required, and in any event every three years. If the version you are viewing is older than three years, please ensure that you have the up-to-date version by contacting [email protected]
